Fee Receipt Reconciliation Across Banks and Gateways

Configuration-driven engine reconciling lakhs of student fee receipts across banks, a payment gateway and POS machines.

The challenge

Fee receipts recorded in the department's portal had to be reconciled against statements from multiple banks, a payment gateway and POS machines - each with a different file layout - covering lakhs of student payments.

What we built

We built a configuration-driven reconciliation engine that auto-detects which bank's file has been loaded, applies the right matching logic for each source (reference-number match, substring search within narrations, or gateway charge computation), flags amount and date mismatches separately, maintains a full audit log, and even generates a ready-to-import Tally file of the reconciled receipts. What was an error-prone clerical marathon is now a few minutes of supervised processing, and the tool has been refined through twelve-plus production versions.

The result

Before: error-prone clerical marathon. Now: a few minutes.
