Asset Shifting Update in the Fixed Asset Register

Asset shifting lists applied to the fixed asset register automatically, with an auditor-ready update log.

The challenge

When assets are shifted between locations, departments and custodians and the shift has to be reversed or restated, the register is corrected by hand, asset by asset, against a separate shifting list. On a register of a few thousand rows that is an afternoon's work and a silent risk - one mistyped asset code and the depreciation schedule is wrong in a way nobody will find.

What we built

We built a small Windows tool that takes the shifting list and the depreciation report as they already come out of the system, matches on asset code, and writes the earlier location, department and custodian back onto each matching row. The original file is never modified - a fresh workbook is produced with an Update Log sheet showing every row touched, the value before and after for each of the three fields, and a count of assets matched, not found and skipped, so the correction can be handed to an auditor as it stands. Asset codes that appear twice, blank codes and placeholder dashes are all reported rather than quietly guessed at. What took an afternoon of careful keying now takes under a minute and arrives with its own evidence trail.

The result

Before: an afternoon of keying. Now: under a minute.
